Privacy policy
Workhorse is a work app for the teams that clean, maintain and look after short-term rental homes. Your employer (or the business you contract with) runs its own Workhorse account and decides who is on its team. This policy explains what the app collects about you, why, and what you can do about it. It is written in plain words on purpose.
What we collect, and why
- Your name, phone number and email, entered by the office that invited you, so you can sign in and receive job messages.
- Your location, only while you are checked in to a job. We record where you are when you check in, while the job is running, and when you finish, so the office knows the job was done at the right house. Your employer's office can see this on a map while you are on a job, and look back at past days. We never collect your location at any other time, and we do not track contractors' location during jobs: for contractors we only keep how far from the house they were when they checked in and finished, not where they were. Location records are deleted after 90 days.
- Photos you take for a job (the finished rooms, repairs, lost items, damage). Photos are of the house, not of people. Routine photos are deleted after 90 days; photos used for a damage claim are kept until the claim is closed.
- Job records: the jobs you accept, your check-in and finish times, checklist ticks and notes. Your employer may use these for scheduling and pay.
- A device token for notifications, if you allow notifications, so we can send you new jobs and reminders.
Guests who scan the QR code in a house are not asked for any personal information.
Guests' information
If the business connects its booking system (for example Hostaway), Workhorse shows its office team each booking's guest name, guest count and the messages exchanged with the guest on the booking sites, so the office can answer guests from Workhorse. This is processed for the business, which decides how it is used. Only the business's office (owner and office staff) can see it; cleaners and other team members never see guests' names, contact details or messages. Message text and guest names are encrypted when stored and deleted 90 days after the guest checks out. Workhorse never uses guests' information for marketing and never sells it.
What we don't do
- We don't sell or rent your information, and we don't share it with advertisers or data brokers.
- We don't track you across other apps or websites, and the app has no advertising.
- We don't use face recognition or record audio.
Who sees your information
The office team of the business you work with, and the service providers that run the app for us (hosting, and text-message delivery when texts are turned on). They may only use it to provide the service.
Text messages
We only text you if you agreed to job texts. Message and data rates may apply. Reply STOP to stop all texts, and START to turn them back on. Non-urgent texts are only sent between 8 AM and 8 PM.
Your choices
- You can turn off location, camera and notifications in your phone's settings at any time. Some features (like checking in at a house) won't work without them.
- You can ask your employer's office for a copy of your information or to correct it.
- You can delete your account in the app: Me → Delete my account. Your name, contact details, location records and devices are removed; your employer keeps an anonymous record of the jobs that were done.
Security
Passwords are stored as one-way hashes, door codes are encrypted, connections use HTTPS, and each business's information is kept separate.
Children
Workhorse is a work app for adults. It is not meant for anyone under 18.
